This Privacy Policy explains what personal data Capsula collects, why we collect it, who we share it with, and the rights you have over it.
Capsula is a macOS application operated by SK-12 Ltd, a company registered in England and Wales (company number 12830997). "Capsula" is a trading name of SK-12 Ltd. In this policy, "we", "us" and "our" refer to SK-12 Ltd. We are the data controller for the personal data described here.
If you have any question about this policy or your data, contact us at hello@samuel.fyi.
The short version
Capsula is built to be local-first. Your screenshots live on your Mac. A screenshot is only ever sent off your device when you actively choose to route it into a Capsule for AI organisation. Screenshots you keep in Folders, or leave unsorted, never leave your Mac. We never sell your data.
What we collect
Account information
To use Capsula you sign in with Apple. Apple gives us a unique identifier for your account and, the first time you sign in, an email address — this may be a private relay address provided by Apple. We use this to create and identify your account.
Screenshots you route for AI organisation
When you route a screenshot into a Capsule, the image is sent to our backend and on to our AI provider so it can be labelled and sorted. Our backend does not store the screenshot image itself — it passes the image through and discards it once processing is complete. The text labels the AI generates are briefly cached (around ten minutes) so that a retried request does not repeat the work or recharge you, and are then discarded.
Payment information
If you buy AI credits, the payment is handled by Stripe. We never see or store your card details. We keep a record that a purchase took place, the amount, and a reference that links it to your Stripe customer record, so we can support your account and meet our accounting obligations.
Diagnostics and product analytics
Capsula can send anonymous usage analytics and crash reports to help us find bugs and understand which features are used. This is opt-in — you can turn it off at any time in Capsula's settings, and when it is off, no such data leaves your Mac. We never include the contents of your screenshots, your search terms, or your Folder names in this data.
What we do not collect
- The contents of screenshots you do not route into a Capsule.
- Anything stored in Folders — Folders are entirely local to your Mac.
- Your card or bank details — these are handled solely by Stripe.
How we use your data
- To provide the app: creating your account, organising routed screenshots, and keeping your credit balance.
- To process payments for AI credits.
- To diagnose problems and improve the product, where you have opted in to analytics.
- To meet our legal and accounting obligations.
Our lawful bases under UK GDPR are: performance of our contract with you (providing the app and processing payments); your consent (optional analytics); and our legitimate interests (keeping the service secure and working).
AI processing
The AI organisation in Capsula is powered by Anthropic. When you route a screenshot, the image and a short instruction are sent to Anthropic's API, which returns the labels used to file the shot. Under Anthropic's commercial API terms, data sent through the API is not used to train Anthropic's models. Anthropic may retain API data for a limited period for safety and abuse-monitoring purposes. We encourage you to review Anthropic's own policies for the current detail.
Who we share data with
We use a small number of trusted service providers ("sub-processors") to run Capsula. They process data only on our instructions:
- Apple — sign-in.
- Anthropic — AI processing of routed screenshots.
- Stripe — payment processing.
- Cloudflare — hosting of our backend.
- PostHog and Sentry — optional analytics and crash reporting.
We do not sell your personal data, and we do not share it for advertising.
International transfers
Some of our service providers are based outside the UK, including in the United States. Where personal data is transferred outside the UK, we rely on appropriate safeguards such as the UK's International Data Transfer Agreement or equivalent contractual protections.
How long we keep data
We keep your account information for as long as your account is active. Routed screenshot images are not stored after processing. Records of payments and credit transactions are kept for as long as we are required to retain them for accounting and tax purposes, even after an account is closed.
Deleting your account
You can delete your account at any time from Capsula's settings, under Account. When you do, we erase the personal data we hold about you — your email and account identifiers — and you will no longer be able to sign in. We retain anonymised payment and usage records where we are legally required to. Any unused AI credits are forfeited and are not refunded. Your screenshots remain on your Mac.
Your rights
Under UK data protection law you have the right to access the personal data we hold about you, to have it corrected or erased, to restrict or object to how we use it, and to data portability. To exercise any of these rights, email hello@samuel.fyi. You also have the right to complain to the UK's Information Commissioner's Office (ICO) at ico.org.uk.
Children
Capsula is not directed at children and is not intended for use by anyone under 16.
Changes to this policy
We may update this policy from time to time. When we make a material change, we will update the "last updated" date above and, where appropriate, notify you in the app.
